The coronavirus outbreak has put Italy on lockdown,\nsuspended travel from Europe to the US and prompted business leaders to\nencourage employees to work from home. Businesses ranging both large and small\nare asking employees to work remotely in an effort to slow the spread of\ndisease without interrupting day-to-day operations. Microsoft, Facebook,\nTwitter, and Apple have all urged employees to work from home if they\ncan. <\/p>\n\n\n\n

As companies take part in what Time Magazine calls \u2018the largest work from home experiment\u2019<\/a>, business leaders will need to ensure they have the right procedures and tools in place to keep their employees engaged. Here we have set out 10 tips to help you prepare your business for remote working.

1. Create a working from home policy for your employees<\/strong><\/p>\n\n\n\n

Set clear guidelines in a \u2018work from home\u2019 policy. This\nshould define who will be working from home, any equipment requirements, working\nhours, obligations to information security and what software will be used to\ncommunicate between colleagues and clients. This will make employees aware of\nwhat is expected of them whilst they are remote working.<\/p>\n\n\n\n

2.  Identify and\naddress any specific issues that individual employees may face<\/strong><\/p>\n\n\n\n

Survey your employees to identify any issues or concerns that\nthey may have before working from home. Ask questions about what type of\nsoftware and equipment teams need. This will also identify whether your\nemployees have the security measures in place for remote working. If time allow,\n test out remote working in your business\nto identify any gaps or improvements that could be made.<\/p>\n\n\n\n

3. Ensure your communications and network infrastructure can\nwithstand the impact of large-scale remote working<\/strong><\/p>\n\n\n\n

Ensure your employees are able to communicate with each other\nand their clients remotely. Make sure your internal communications and network\ninfrastructure is able to handle increased volumes during this time. Reliable\nremote meeting technology is essential. 5. Provide employees with the equipment they need to work\nfrom home effectively<\/strong><\/p>\n\n\n\n

Ensure your employees have all the right equipment to\nperform their jobs effectively. This could include laptops, headsets and\nmonitors. Ensure you maintain an asset register detailing the whereabouts of\nall company electrical assets. <\/p>\n\n\n\n

6. Create guidelines for employees on how to work from\nhome effectively<\/strong><\/p>\n\n\n\n

Some employees will be working from home for the first time, which means figuring out how to keep them productive, collaborative and to ensure a constant steam of communication. Help your employees by creating a routine for them \u2013 when they should start work, when they can take breaks. Providing a work management tool like Asana will also help your remote workers plan their day and tasks better and will give you an easy way to assign new projects, track progress of current assignments and gives them transparency of who is doing what and when. Encourage your staff to create a quiet, comfortable environment where they can focus. Agree on a clear set of goals up front so that both parties are aligned with what is expected.<\/p>\n\n\n\n

7.  Ensure regular\ntop-down communication to keep everyone informed<\/strong><\/p>\n\n\n\n

During this uncertain time, many businesses are applying\nremote working for an indefinite period. You need to ensure your employees are\nkept informed on any changes or updates across the business. Whether through a\ncompany-wide email, a weekly all-hands conference call or dedicated chat\ncommunication channel such as Slack, make sure you regularly communicate with\nall your staff, so they know what is going on.<\/p>\n\n\n\n

8. Keep a check on health and wellbeing<\/strong><\/p>\n\n\n\n

This will keep your team focussed and create a rhythm for the day. Also,\nmake sure you have schedule 1:1\u2019s with each of your team members and make sure\nyou still cover topics such as career development and objectives. <\/p>\n\n\n\n

10. Don\u2019t forget about the social aspect<\/strong><\/p>\n\n\n\n

It\u2019s important to ensure your employees are keeping their\nsocial connections with each other strong whilst working from home. Provide\nthem with a virtual space where they can connect socially. Whether it\u2019s a Slack\nchannel for team members to post funny pictures of their pets or a Friday end\nof day one-hour video call for your team members to talk about anything new in\ntheir lives, their plans for the weekend, or a great movie move they saw. Even\n15 minute coffee breaks via video conferencing throughout the week can keep\nemployees feeling connected.<\/p>\n\n\n\n
