Leigh Henderson explores<\/strong> <strong>what telephone options are available to Teams users, and whether or not they need to upgrade at all. <\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-introduction\">Introduction<\/h3>\n\n\n\n<p>When deciding to move to <a href=\"https:\/\/loopup.com\/us\/resource-center\/blog\/microsoft-phone-system-all-you-need-to-know\/\" target=\"_blank\" rel=\"noreferrer noopener\">Microsoft Phone System<\/a>, many are concerned with the thought of losing their traditional desktop telephone &#8211; a device which most likely hasn&#8217;t changed very much since the 1990s, for better or for worse. <\/p>\n\n\n\n<p>These telephones are often\nperceived as necessary for certain staff members, such as Executives, Executive\nAssistants or Operators due to their preference or perceived use case.<\/p>\n\n\n\n<p>In this article we\u2019ll explore what telephone options Teams users have, but more importantly, we\u2019ll question whether or not a dedicated device is still required.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-how-phone-numbers-work\">How phone numbers work<\/h3>\n\n\n\n<p>Before we get into the Teams Telephones, and whether or not to use them, it\u2019s extremely important that we address a major difference between Teams Phone System and legacy PBX systems.<\/p>\n\n\n\n<p>With a legacy PBX, a phone number\nbelonged to a telephone, and a user\u2019s name was assigned in a central directory\nto be associated with a number. If a user were away from their phone because\nthey were working out of the office or working from home, they would either use\na softphone application or forward their number to their mobile before leaving\nthe office.<\/p>\n\n\n\n<p>With Teams Phone System, this\nparadigm is reversed \u2013 a number belongs to a user, and a user can sign into\ntheir Teams account on any supported Teams client, including a Teams Phone. On\nan incoming call the user will receive a notification on all logged-in devices\nat the same time. <\/p>\n\n\n\n<p>Basically, Microsoft treats your\ntelephone number as if it were an email address \u2013 I mean, how weird would it be\nif you could only access your email on a single, dedicated device?<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-can-i-have-a-teams-telephone\">Can I have a Teams telephone?<\/h3>\n\n\n\n<p>Of course! Microsoft Teams Phones are available from several hardware providers such as Poly, Yealink and AudioCodes. They are designed to be simple to use thanks to their touchscreen and familiar Teams interface, and simple to manage thanks to their Android operating system which is controlled by Microsoft Mobile Device Management and InTune.<\/p>\n\n\n\n<p>Teams Phones have an extensive feature list which is being expanded frequently thanks to their software-based design, with their functionality currently including:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Modern\nAuthentication, allowing users to sign in either with their username or\npassword or by signing in on another device like their PC or Smartphone.<\/li><li>Quick access to\ncontacts, call history and voicemail.<\/li><li>Ability to join\nmeetings with a single touch and view your calendar of upcoming meetings.<\/li><li>Receive calls for\nCall Queues.<\/li><li>Manage calls for\nExecutives with the delegate feature, allowing assistants to intercept incoming\ncalls; make calls on the executive\u2019s behalf, take over calls the executive has placed\non hold, and monitor whether the executive is on a call, on hold and so on<\/li><li>Hot Desking allows\nusers to sign into a phone and access all their contacts, meetings, and other\npreferences, then sign out when they\u2019re done and leave the phone ready for the\nnext users. <\/li><li>If supported, make\nand receive video calls and join video conferences.<\/li><li>Provide higher levels\nof accessibility like high contrast text.<\/li><li>Dynamic and enhanced\nE911 support<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-can-i-use-my-existing-phone\">Can I use my existing phone?<\/h3>\n\n\n\n<p>Possibly. Existing Skype for Business phones are supported via Microsoft\u2019s Third-Party Integration Platform (3PIP), and Microsoft has announced that these devices will be supported beyond 2023. Skype for Business phones have a limited feature set (<a href=\"https:\/\/techcommunity.microsoft.com\/t5\/skype-for-business-blog\/skype-for-business-certified-ip-phones-with-microsoft-teams\/ba-p\/286073\" target=\"_blank\" rel=\"noreferrer noopener\" aria-label=\" (opens in a new tab)\">Skype for Business Certified IP Phones with Microsoft Teams &#8211; Microsoft Tech Community<\/a>) when compared with Teams phones, however, so if features such as Executive Delegation are required this option should not be selected.<\/p>\n\n\n\n<p>Third-Party SIP telephones from hardware providers such as Cisco, Yealink, Polycom, and others are planned for support in the first half of 2021 via Microsoft\u2019s new cloud SIP registrar service. This is an excellent way to retain existing hardware from a previous phone system, though as with Skype for Business phones, these devices will have a limited feature set compared with Microsoft Teams Phones.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-but-should-i-have-a-teams-telephone\">But \/should\/ I have a Teams telephone?<\/h3>\n\n\n\n<p>It\u2019s absolutely up to you, but\nbefore you rush out and buy a few pallets worth of expensive devices, there are\na few things you may wish to consider.<\/p>\n\n\n\n<p>Where in the past your telephone\nwas the only device on which you received phone calls, a Teams Phone will most\nlikely be the <em>third <\/em>device for your phone calls, with the first two\nbeing your computer and mobile phone \u2013 not necessarily in that order. <\/p>\n\n\n\n<p>Depending on the size of your\norganization, the cost of adding these tertiary calling devices to all staff\nmembers, or even a significant portion of users could be quite large and could\nvery well be spent in better ways. For example, a good Bluetooth headset which\ncan pair with both the users\u2019 computers and mobile phones would likely cost\naround half that of a Teams Phone.<\/p>\n\n\n\n<p>Preference for a physical device,\nusually by executives, is often seen as a requirement, however my experience\nhas shown that executives are often the heaviest adopters of the Teams Mobile\nclient. As they usually have high mobility requirements, they\u2019re often reliant\non their mobile phone and AirPods for their voice calls already, so with the\naddition of the Teams Mobile App, they rapidly see the benefits like call\nscreening by their assistant thanks to the Call Delegates feature, or the\nability to send quick voice messages to their colleagues.<\/p>\n\n\n\n<p>That mobility doesn\u2019t need to\nstop with executives. Every user within your organization can use the Teams\nMobile App, either on a work-issued device or on their personal device. This\ngives them the ability to access their calls from anywhere, but it has another\ngreat benefit which most don\u2019t think about when deploying Teams \u2013 Resiliency. <\/p>\n\n\n\n<p>While Teams Phones are reliant on\nthe physical internet connectivity in your offices, the Teams Mobile App turns\nthe 4G connection of every single mobile phone in your organization into a Disaster\nRecovery internet connection, allowing business continuity in the event of a\nmajor outage on your WAN links, or in the event your users all need to work\nfrom home.<\/p>\n\n\n\n<p>Finally, helping your users to adopt the Teams Mobile App will help to drive adoption of Microsoft Teams in general and providing the maximum return on investment for your business. The Teams Mobile App has all the same features as the desktop version, as well as a few new ones. <\/p>\n\n\n\n<p>So, your users can chat, join\nmeetings and share content, make and receive calls, check their voicemails, and\neven use their mobile phone as a Walkie-Talkie. And if they\u2019re worried about\ngetting bombarded with work notifications after hours, don\u2019t worry \u2013 there\u2019s a\n\u201cquiet hours\u201d setting to protect them from unwanted dings during the night.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-conclusion\">Conclusion<\/h3>\n\n\n\n<p>It seems to make sense that a physical telephone is the logical device when deploying Teams Phone System, but for the vast majority of users the best telephone available is the one which is already in their pocket.<\/p>\n\n\n\n<p><em>Leigh Henderson is a Director of Consulting for the Australian region at LoopUp.
